Grewalz Migration Services ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

As a Registered Migration Agent (MARN 2619346), we are also bound by the Migration Agents Code of Conduct and the confidentiality obligations it imposes.

1. What information we collect

We collect personal information that is reasonably necessary to provide migration assistance, including:

  • Identity information (full name, date of birth, gender, nationality, passport details);
  • Contact details (email, phone, postal and residential address);
  • Visa and immigration history, character and health information;
  • Educational qualifications, employment history and skills assessments;
  • Family and relationship information relevant to your application;
  • Financial information where required to assess a visa application or invoice for services;
  • Any other information you provide to us in connection with our services.

Some of this information may be "sensitive information" under the Privacy Act (e.g. health, biometric or criminal record information). We only collect sensitive information with your consent and where it is reasonably necessary for our services.

2. How we collect your information

We collect personal information directly from you wherever practicable, including when you:

  • Submit our online enquiry or contact form;
  • Email, call or meet with us;
  • Engage us to provide migration services and complete client intake forms;
  • Provide supporting documents for your application.

In some cases we may collect information from third parties (with your consent) such as your employer, education provider, sponsor, family members, or government agencies including the Department of Home Affairs.

3. Why we collect and use your information

We use your personal information to:

  • Provide migration advice and prepare and lodge visa applications on your behalf;
  • Communicate with the Department of Home Affairs, OMARA and other relevant authorities;
  • Respond to your enquiries and provide quotes;
  • Issue invoices, receive payments and maintain accounting records;
  • Comply with our legal, regulatory and professional obligations;
  • Improve our services and website.

4. Disclosure of your information

We may disclose your personal information to:

  • The Department of Home Affairs and other Australian or overseas government agencies;
  • The Office of the Migration Agents Registration Authority (OMARA);
  • Translators, interpreters, education providers, skills assessing authorities and health/police check providers;
  • Our professional advisors (e.g. lawyers, accountants, IT and cloud service providers);
  • Any other party with your consent or as required by law.

5. Overseas disclosure

Some of our service providers (including secure cloud storage and email providers) may store data outside Australia. Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles your information in a manner consistent with the APPs.

6. Storage and security

We hold personal information in secure electronic and (where applicable) physical files. We use reasonable technical and organisational measures to protect it from misuse, interference, loss, unauthorised access, modification or disclosure. We retain client files for the period required by the Migration Agents Regulations and other applicable laws (generally a minimum of 7 years).

7. Accessing and correcting your information

You may request access to, or correction of, the personal information we hold about you at any time by contacting us using the details below. We will respond within a reasonable period and may need to verify your identity before providing access.

8. Cookies and our website

Our website may use cookies and standard server logs to record information such as your IP address, browser type and pages visited. This information is used to operate and improve the website. You can disable cookies in your browser, but some features may not function correctly.

9. Complaints

If you believe we have breached the Australian Privacy Principles, please contact us first so we can try to resolve the matter. We will acknowledge your complaint within a reasonable time and respond as soon as practicable.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

Complaints relating to our conduct as a Registered Migration Agent can also be made to OMARA at www.mara.gov.au.

We may update this Privacy Policy from time to time. The current version will always be available on our website with the "Last updated" date.
